5 tips for successful event planning

Event planning isn’t easy. There are a lot of moving parts to make an event go as smoothly as possible. We’ve listed tips to help you plan along the way.


1. Create a checklist and timeline

This is one of the most important tasks to do in the beginning to everything and everyone on track and organized. Create it in Excel. Add columns such as Progress and Responsible Party.  Update the checklist on a daily or weekly basis.  

2. Establish a budget

Work with your clients on how much they’re allotting toward the event. Break it down to include all aspects of the event. Include an Estimate column and an Actual column to see where you can move money around to stay within budget. Some items may cost more than you had estimated and some less.  

Hopefully, in the end it all evens out and you don’t go over budget.  

3. Go big first

Book the big things first, like venue and music. You probably already have what you like in mind and so do many others. People often book months and sometimes even a year in advance. So, it makes sense to start there.  

4. Choose vendors wisely

Vendors can make or break your event. Select vendors with excellent reviews. Once you’ve researched them, meet with them to get a sense of how you can best work together. Creating a great relationship with vendors will go a long way. 

5. Listen carefully

Your clients have a vision. You also have ideas. Listen to what they want and offer ideas that align with their vision or help augment it. After the event, send a survey and listen to what people are saying, so you can improve if necessary.
